These Terms and Conditions govern your registration for and participation in FOSS4G 2025 (“the Conference,” “we,” “us,” or “our”). By registering for the Conference, you agree to be bound by the following terms:
Registration
Eligibility: You must provide accurate and complete information during the registration process. If your information changes, please update it or notify us as soon as possible. Registration Confirmation: Your registration is considered complete upon receipt of payment (when applicable) and confirmation from the Conference organizers.
Payment and Refunds
Payment Requirements: All applicable registration fees must be paid in full to secure your spot at the Conference. Refund Policy:If you cancel your registration before the Conference start date, you may request a full refund. Refund Requests: To request a refund, contact us at registration@foss4g.org with your registration details.
Code of Conduct
Adherence to Code of Conduct: By attending the Conference, you agree to abide by our Code of Conduct. This includes treating all participants, speakers, sponsors, and staff with respect, refraining from harassment or discriminatory behavior, and following all venue rules. Violations: We reserve the right to remove or deny entry to any attendee who violates the Code of Conduct. In such cases, you may not be entitled to a refund of any fees paid.
Event Changes
Program Modifications: The Conference schedule, speakers, and programming are subject to change. We will make reasonable efforts to communicate any major changes to attendees in a timely manner. Venue or Format Changes: We reserve the right to change the event venue or format (e.g., from in-person to virtual) due to circumstances beyond our control (e.g., safety concerns, public health issues, or natural disasters). In such cases, we will provide an updated schedule and venue information as soon as possible.
Liability
Assumption of Risk: Your participation in the Conference is voluntary, and you assume all risks associated with travel and attendance. Limitation of Liability: To the extent permitted by law, we are not liable for any direct, indirect, incidental, or consequential damages resulting from your participation in or inability to participate in the Conference. Insurance: You are responsible for obtaining any necessary insurance (e.g., travel insurance, health insurance) to cover potential losses or injuries.
Privacy
Data Collection: We collect and process personal information in accordance with our Privacy Policy. By registering, you consent to the collection and use of your information for event-related purposes. Recordings and Photographs: Sessions at the Conference may be recorded or photographed. If you do not wish to be included, please see our Privacy Policy or contact us for accommodation.
Intellectual Property
All materials provided at or in relation to the Conference (e.g., presentation slides, recordings) are the property of their respective authors or the Conference. Unauthorized use or distribution of these materials is prohibited without explicit written permission.
Cancellation or Postponement by Organizers
In the event of force majeure or other circumstances beyond our reasonable control (e.g., strikes, natural disasters, public health emergencies), we reserve the right to cancel, reschedule, or postpone the Conference. In such cases, our liability is limited to refunding registration fees according to our refund policy or transferring your registration to the rescheduled event.
Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of New Zealand. Any legal actions relating to or arising out of these Terms shall be brought in the courts located in Auckland, New Zealand.
